The Payroll Center: your pay period at a glance

Who you pay this period, who needs you, and the button for the pay’s next step.

The calendar and period you choose are always remembered, for you and for that clinic: when you go to another screen, reload, sign out or sign in from another device, you stay on it until you change it; if that period has already been paid, the current one of that same calendar opens. When you change period, the list starts over: without the previous search or filters. At the top you choose the period in the selector: only periods that need work appear, each with its status: “In progress” (not finished yet) or “To close” (finished and its payroll is not closed). Next to the dates of the chosen period you see its status; if you have more than one calendar, its calendar name goes before the dates. When you open the selector, the “To close” periods of all your calendars are at the top, oldest first, and the “In progress” ones below; each row says which calendar it belongs to (“HHA” for your field caregivers’ calendar, and the others by their name) and shows ONE status in color: amber “To close” for what needs closing, teal “In progress” for what is still running; if the period you are looking at is really missing days of data from your visit system, it says “Days missing” instead of “To close” (while data is being updated it does not say it: the “Updating…” button does). What is already paid is not here: it is under “See past payrolls”, at the end of the list, which takes you to Payrolls. When a period becomes “To close”, the bell tells you with “Payroll to close”, its calendar and its dates; when you tap it, the notice goes away and the Payroll Center opens with that period chosen. The “Payroll” tab in the menu carries an amber number on its top-right corner (on the phone, on the corner of its icon in the bottom menu) with how many payrolls are waiting to be closed: that number stays until you close the payroll. Periods in progress do not count, because there is nothing to close yet. While data is being updated, the Payroll Center keeps showing the last complete update and a thin band below the header says which step it is on; when everything finishes (the reports, prebilling and the pay calculation) it all changes together and says “Data updated” with its time. If it does not complete, you keep seeing the last complete data and it says so. The first time, until there is a complete result, there is no period selector: if your visit system account is not connected, a line at the top shows the “Connect” button, which opens the guide at the connection step (when you press “Connect” the guide closes as soon as it is saved, and the Payroll Center shows “Connecting” while your user is checked; if it does not get in, “Review the connection” appears; once connected, the data arrives on its own), and there is no refresh button; the whole screen shows below; while it is brought in and calculated, “We are preparing your first payroll” with its steps, and the cards say “In preparation”. The chosen period stays in the page address, so reloading or sharing the link shows the same pay. The four cards show how much you have to pay this period, how many caregivers are included, how many have something pending, and how much has been confirmed as paid this month. The “Pending this period” card lights up amber when there is something and says what it is: how many without a rate, unidentified or to review; with nothing pending it says “Ready to close” when the pay can already be prepared or closed, and “Up to date” while the period is still running or days of data are missing. Hovering over the other cards shows their detail (the period dates, or how many are missing a rate; visits and hours). Tapping “Pending this period” takes you down to the list, with the “Need you” tab open: they are the same ones the card counts. The list “Who you pay this period” puts those who need you first and the “Ready to pay” ones below (see “Each caregiver row and what opens from it”); the “Need you” tab shows only the pending ones and the search box looks up by name or identifier. With the list selected, the ↑ ↓ arrows switch caregiver, Home and End go to the first and last, and Enter opens their profile. The green button at the top says the pay’s next step: “Prepare payroll”, “Approve”, “Lock and pay” or “View the pay”. If a caregiver is missing a rate, payroll is prepared anyway; her row says “Set her rate” and the total card tells you on hover (see “The rate for each patient”). The screen updates on its own when someone else moves the pay.
