Your clinics and what each one has

Each clinic of your account is a card that shows Records (green) and Payroll (blue), and how much it adds each month. They are the same clinics from Records and from Payroll.

  1. Where a clinic is missing a program, its card shows "+ Add Records" or "+ Add Payroll" with the monthly price. Before confirming you see what changes in your monthly invoice.
  2. If you already pay for more clinics than you use, the new one says "Included in what you already pay" and costs nothing. If not, it is charged before it is added: today you pay the part of the days left in the cycle; if the charge fails, nothing is added.
  3. On a trial, a new clinic joins your trial: it costs nothing now and is charged when you activate, with the rest. If the trial has already ended, the window asks you to activate your subscription first.
  4. A clinic that is not active does not offer "+ Add": tap it and it tells you why.
  5. A clinic is registered in the program you open the window from. From Records: 1 · the clinic’s details, 2 · confirm. From Payroll: 1 · the clinic’s details, with its tax number (EIN) required, 2 · the company, 3 · confirm. The other program is added later from the clinic’s tile. The phone must be a 10-digit U.S. number.
  6. The company (Payroll only) is decided by the EIN, it is not chosen: the system checks it as you type. If it is the EIN of one of your clinics, the new one is registered as its branch office — by law the same company. For now it has its own payroll; if that company already pays with Payroll, the Leymax team joins them into one so overtime and year-end forms are calculated per company. If another account in the system has that EIN, it is not registered here. Every step says what is missing before moving on, and it is charged before the clinic is created.
  7. If a clinic says "Complete Payroll", it still needs the date Payroll starts paying: tap it and finish.
  8. On a clinic that is already registered, "+ Add" only asks what you want to add and, for Payroll, the date it starts paying (and its EIN if the clinic does not have one yet). Under each clinic, "Edit" changes its details and "Remove" takes it out of the account after two confirmations (what happens, then typing the clinic’s name) — only if it has no files, documents, caregivers or Payroll visits, because the law requires keeping them; nothing is deleted and the paid slot is free for another clinic.
  9. Only the account owner can register, remove clinics or add programs. An administrator can edit the details of the clinics they work with (except the EIN of a clinic that pays with Payroll). The rest of the team sees why when they tap. A complimentary account has no clinic limit.
