The worker portal

She enters with her email and a code, sees her pending forms and her own documentation with due dates.

Where to find it

The link the worker receives by email or SMS (worker portal)

Every active worker with an email on file can enter her portal: she types her email, receives a 6-digit code (valid 10 minutes), and is in. She sees the forms the agency requested, fills and signs them with her finger, and manages “My documents” — licenses, CPR, insurances — with the system watching expirations for her. A trusted device skips the code for 30 days. Opening the same link in another browser, or after clearing its cookies, requires a code again. When a signature request requires a code, both signing and declining require identity verification in that browser. When she opens her portal from one of our emails, her email is already typed in and the button is highlighted; after the code she lands directly on the form the email was about. When her file is complete, the nurse or the aide gets a "File complete — you are cleared to work" email (internal staff does not: they do not receive patient assignments).

Tip

Her access hangs from her ACTIVE file with that email — change the email and the access moves with it, deactivate the file and the access dies.

It opens with "Request documents"

The worker portal opens in full when the office presses "Request documents". Before that, her portal only shows what concerns her: the forms the office sent her to sign (filled in with "Fill in by the office", or a contract the office already signed on its turn) and the papers that are expiring within 30 days or already expired — the expiration notice opens that row for her so she can upload the renewal. With nothing of that, the portal says she has nothing pending yet. When the office presses the button, everything opens, and what she already signed shows as done. While her file has papers to place, nothing automatic is sent to her.

On the phone

On a phone the portal is one column. The back arrow sits in the header, before the logo; with more than one agency, the agency name in the header opens the list to switch. The language (ES/EN) and "Sign out" sit at the very bottom, under the privacy note. In "Upload papers" the list shows "You are missing · N" with only what she has never delivered; what she already delivered and is expiring goes in its own "To renew" card: each row has "Upload the new one", which opens the same camera/file uploader but files the paper straight into that row (the system checks it is the right paper and reads the date; the current one is kept as previous). Everything else she sent is folded under "Everything else is delivered · N". A paper on file shows an eye: tapping the row or the eye opens it. If the office still has to finish something about a paper she sent (for example, confirm its date), the row says "In review" and counts as delivered — the portal never asks her again for what she already sent. What the office verifies on its own does not appear until the office marks it verified. On a tablet or computer the list stays whole, but the expiring row also has "Upload the new one" (a file, or the QR to scan it with the phone straight into that row), and office-verified papers appear only once verified.
