Paying through the bank (optional)

When the payment closes, a file for your bank with what each one is owed: you upload it, approve it and it reaches them.

It is optional: if you do not turn it on, Payroll stays the same. The getting-started guide offers it to the owner and the partner as an «Optional» step (it does not count or block; «Not now» removes it). To turn it on, the owner or the partner go to My account → Pay through your bank and enter the bank (Chase, Wells Fargo or Regions, which publish their official specification; for any other U.S. bank with ACH file upload, «My bank is not on the list»: the bank’s name, your account’s routing number —it is on your checks— and the ACH Company ID, shown in your online banking where you turn on ACH payments; if you do not see it, ask your bank «What is my ACH Company ID?»), the company name in 16 characters, the account payments come from and, with Wells Fargo or Regions, the company ID your bank assigns (10 letters or digits); first, ask your bank for ACH file uploads (in Chase, «ACH Payment Services» → «ACH file upload»; in Regions, iTreasury → «NACHA File Import»). With a bank we have not tested for real yet, upload the first file WITHOUT approving it so the bank reviews it. With the payment closed, in «Paid», inside «Pay them», you see «Pay them through {your bank}»: how many payments and the total, to personal and company accounts (separate, in the same file), the day it reaches them (at least the business days your bank requires; Chase cuts off at 8:00 PM ET; if your bank does not publish its cutoff, one extra day is left and it is worth asking) and who is left out and why: no bank account, W-2 employee (paid by your payroll processor, because Leymax calculates gross and does not withhold taxes), not classified (set in their employment link whether they are a contractor or an employee; only contractors are included) or nothing owed. After the bank cutoff, the earliest possible day moves one business day. Anyone with an account change waiting is paid to her current account. «Download the file» downloads it; upload it in your bank, check the bank shows the same payments and the same total, press «Submit» and approve it with your user. Come back and mark «I uploaded and approved it»: who and when is recorded. If you change the date before uploading it, the previous file stops being valid and can no longer be downloaded. If someone’s account change is approved after it was generated, the file says so and cannot be downloaded or marked: press «Redo the file» so it pays today’s account. If days later your bank returns a payment (closed, wrong or frozen account…), press «Record a return», choose the person and the code in the bank’s notice (R02, R03, R04…): it shows «returned, pending payment», the bell rings for whoever confirms payments and «Correct their account» takes you to their file. That money is paid by hand; once they have it, press «Already paid by hand» and it stops being pending. If you recorded a return by mistake, «Undo» removes it (while it is not paid by hand) and what was undone is recorded. Leymax never sends the file or touches your money. If you paid them another way, «Record it by hand» opens the same «I’ve paid them» window.
