An already-paid visit changed

The difference is shown under its caregiver and you decide: apply it to this pay, leave it pending or not apply it. Nothing is adjusted on its own.

A visit from an already-closed pay can come back different from your system: other hours, another rate, another amount, another caregiver, another patient, another date, or no longer paid. Leymax compares the same visit (the same Visit ID) at both moments: it never assumes a visit was cancelled just because it stops appearing in a report. What was paid is not touched and nothing is deducted or paid on its own: when the pay is prepared, the difference (what is due today minus what was paid, more or less) appears in the “Caregivers” tab, under “Already-paid visits that changed”, inside its caregiver, with the patient, the date and the amount. At the top, a banner says how many caregivers have differences and how much they add up to. “View details” shows the caregiver, the patient, the exact date, the Visit ID, the hours and rate paid and today’s, the original pay, the amount paid, the amount per today’s visit, the difference, what changed and when it was detected. With the “Handle pending items” permission you decide: “Apply to this pay” (the difference goes in as an adjustment line when you prepare again; until then the pay cannot be approved), “Leave pending” (it stays in view in the next pays) or “Do not apply” (it stops being proposed as long as the visit does not change again). Leaving pending and not applying ask for the reason; every decision is recorded with your name and date. An undecided difference does not stop the pay: when approving, the dialog says how many stay out. If the visit changed caregiver, it is not applied as an adjustment: it is corrected with a separate payment. If the visit changes again, the difference is proposed again with the new amount and the earlier decision stays in its history; if the difference goes away, it closes on its own and says so. It is detected while the visit is still within the current cycle or the one right before it, which is what the connection brings; a difference already in view keeps being checked until you decide it. When the pay is locked, what was applied becomes “Applied” and nothing changes in the original pay.
