Where to find it

- The HHA Independent Contractor Agreement is an editable, two-page sheet. The office enters the HHA hourly rate. Payment schedule and payday are optional and may be left blank without blocking signing. The representative name and capacity stay blank while filling out the form. They are completed when signing with the selected official signature; if several signatures are available, you must choose one. The worker reads the terms and signs. A previous-cycle prefill notice appears beside the pending fields for four seconds. When the office approves new terms, the pending portal request is replaced with that approved version. Updating the catalog does not change a contract already approved by the office. Previously signed contracts keep their original version. After the office signs, its signature and date appear in the preview; the worker signature stays blank until she signs.
- "Upload here" / "Re-upload": drop the file on the row or choose it. If the row watches a date, you will be asked for it before archiving.
- "Fill": opens the office sheet on screen (see "Sheets the office fills"). If the sheet takes two turns — you put in the agency terms and the worker signs her part — closing your turn changes the row to "Sent — waiting for the worker to sign it", and the paper keeps showing what you filled in. The final document is born when both turns are done.
- "Request this document": sends the worker the link to upload just that paper.
- "Renew": when the paper is about to expire — for office sheets it prepares the new cycle with the previous data; for nurse sheets it asks the nurse for the new one.
- "See" / "See signed PDF" / "Print" / "Previous versions" / "Requirement history": everything that happened with that paper, with who and when.
- Opening an individual sheet preserves its original orientation: landscape sheets such as Medication schedule are read horizontally.
- The printer icon lives in the white bar above the paper. If the row holds several papers — the front and back of a card, a second sheet — it prints them all, in file order, as one job.
- If you filed it in the wrong row, the paper is NOT stuck there: the "Edit" button on the white bar above the paper holds its tools — "Rotate", "Separate the documents", "Move to another row" and its ways out: "Discard this paper" and, only if that paper arrived inside a folder, "Send back to to place" — it leaves the row and waits in the tray so you can put it in the right box, nothing is deleted. A paper you uploaded straight to the row has no tray to go back to: move it to another row or discard it. They all ask first and explain what will happen; everything stays in the history.
- The consents packet is ONE row, not one per acknowledgement, and it behaves as a BOX: whatever you put in stays, and a second sheet never replaces the first (nothing in that packet renews or expires). You can drop the whole packet at once or the sheets one by one, in any order. Under it you will see "What this packet contains" — the list of the acknowledgements it brings. That list is there to tell you what the paper is: it does not count and it holds nothing back. What the row does watch is the acknowledgement the law requires (the background screening attestation), and it recognises it on its own in two ways: if the packet came in the big folder scan, the scan already found it inside; if it was uploaded through the row or the worker portal (the whole packet in one PDF or the sheets one by one), the row finds it by its printed title. Then the line says "Up to date". If it is not recognised, the row and the folder say "Law sheet missing" in red and the line says "Missing", with a "Link it" that opens the packet so you can point at the sheet that is the attestation.
- "Attach a non-required document" (per folder): keeps an extra paper without counting it as a requirement.
You can drag the rows to reorder the index of that drawer (Alt + ↑/↓ also works). The order is saved for the whole clinic.
One row, one validity
What expires is the row, not each sheet. Separating a sheet into a row that already has its paper — the other side of the card, a second page — is a set: the sheet joins that paper with the date the row has (valid, expired or still to be asked) and nothing is asked; the row shows both sheets stacked. From "to place", a paper dropped into a valid row inherits its date the same way. Confirming the date on the row applies to all its sheets. A renewal goes through its own door ("Upload here" / "Renew" / the worker's portal) and brings its own date: the new paper becomes the row's validity and the previous ones leave the row into its history.
What is missing can be found at a glance
A row whose paper has not come in yet shows its dot in amber — the same dot, nothing else. When a folder is missing only one or two papers, its count turns amber and the line under its name says which ones ("Missing: W-4 or W-9"). And next to the count at the top of the index, "1 missing" takes you straight to that row. With more papers missing (a file just opened, for example), the index stays quiet: the count already says it.
What expires can be seen coming
In the index, a row that is fine only shows its green dot: nothing to read, nothing to do (the paper, when you open the row, carries its own date). The row speaks when someone has to act: from 30 days before it expires it reads "Expiring soon · date" in amber (the printed expiration; without one, just "Expiring soon") and counts under "Expiring" in the panel; past the date it reads "Expired date" in red and counts under "Overdue". For a paper that only has the date it was done and a renewal cycle (a yearly training), the system keeps its own alarm — issue date plus the cycle — to say "Expiring soon" and to notify; it never paints a date the paper does not have. 30 days before, 7 days before and when it expires, the worker gets an email and a short text message so they can bring the renewal through their portal — as long as nothing in the file is waiting to be placed.
The guided tour of the file
The first time you open a file, a guided tour points at each part, one at a time, and you move on with "Next": what this screen is, the name (which opens the person's record), the team board, asking the person for papers, printing what is missing, the two lists, the folders, a row and its colors, the row's three dots, the center with the paper, the paper's white bar and the file's "⋯". Skip it or finish it and it will not come back by itself; you can watch it again any time from the file's "⋯" → "How the file works". There is a second one for placing papers, under "How papers are placed".
