Legal hold: freeze a file

When there is a complaint, a lawsuit or an investigation, freeze the file: nothing can be deleted, archived or modified until an administrator releases it. Everything is written in the history.

Where to find it

Open the file → "More actions" (⋯) → "Legal hold" / "Release hold"

"More actions" → "Legal hold". Write the reason (at least 5 characters) and press "Apply hold". The file shows "Legal hold active".
While it is on: the file cannot be archived, board notes cannot be deleted, and papers are not moved or discarded.
To lift it: "More actions" → "Release hold", write the release reason and confirm.

Tip

The "?" next to the option explains the hold in one paragraph without leaving the file.
