Where to find it
Open the worker file → a form row that used to say "Read only" → "Fill in by the office" → "Send for them to sign" (or "to complete")"
In the file of a nurse, an aide or internal staff, the hiring forms they fill in themselves show "Fill in by the office". It is the exception, not the usual path: the button is white and, the first time, asks you to confirm. The office opens the same form and fills in everything except the signatures — her lines and the office’s own lines, dates included; there is no signature box. At the bottom of the form, press "Send for them to sign" (or "Send for them to complete" when the form carries no signature): it reaches their email with the link to their portal, and the form opens already filled in — on her phone it opens straight on the review of the real paper, with "The agency already filled out this form. Please review it.", "Looks good, sign" and "Correct an entry" (which walks her through the steps with everything already written). They review it, can change their part and sign it or complete it; what the office wrote in its own lines reaches them already written and only the office can change it. When the office countersigns, those lines come already filled in (they can still be corrected). Once sent, the button says "Edit what was sent": it opens what you sent and, if you send it again, it replaces the one she has (if she already started or signed, it tells you why not). What you send is the only version she can open from that moment: if she had already started writing her own copy, the send tells you right away and nothing is sent; if she had it open but blank, her portal tells her the agency just sent it filled in and to open it again. If the form carries the office signature, the office countersigns afterwards, as always. It is not offered on a graded test (the pre-employment test), and it does not replace the office forms or the contracts with an office turn: those keep their own button.
What they already did comes first. If they already started filling it in from their portal, the button tells you so and does not overwrite their work. If they already signed it, it is waiting for the countersignature in Signatures. The file needs an email for the form to reach their portal; without one, pressing "Send" tells you to add it and nothing is sent. If you open it again before they start, it opens with what the office already sent, and sending again replaces it. If they upload the signed paper by hand, the paper counts, as always.
