Adapting a system form

Press a paragraph and write. Add pieces with the “+”. What you see on screen is the paper that comes out of the printer.

Where to find it

Open a sheet → ⋯ → "Edit system form" (administrators)

The editor is the sheet itself, at real size. There is no preview and no “design mode”: you are working on the paper. Press any paragraph and write over it — the original wording is kept underneath, and one button puts it back whenever you want.

Adding your own pieces

Move the cursor between two paragraphs and a “+” appears. That is where the new piece goes. Containers you create (columns, group boxes) say “Empty — press to add inside”, so you always know where you are writing.

What you can add

  1. Text — paragraph, section title, bullet, highlighted notice.
  2. Fields and boxes — a fill-in field (label + line), a date field (opens a calendar when filled), a tick box, a row of 2 to 4 tick boxes.
  3. Structure — columns (2 to 4 side by side), a label + value grid, a table with headers and rows, a group box, and a new page.
  4. Formatting for any of them — alignment, letter size, bold, background colour, ink, and the style of a section title (flat, with a line, or a band).
Tip

A field you add is filled in later, when someone fills the sheet — in the office or in the portal — and it prints with what was written. The key is assigned by the system and no new field is ever born required: you decide afterwards if it must be filled.

If you do not know how to word it

Choose “Write with AI”, say what you need in plain words — for example, that they must warn the agency 48 hours ahead if they cannot cover a shift — and it drafts it for you. It is a draft: it only enters the paper if you insert it, and you can rewrite it afterwards.

What the editor will not let you touch

Two kinds of block are locked, and each says why when you press it. A paragraph that is there because the quoted regulation demands it cannot be edited or removed — without it the paper stops complying, and it goes out under your letterhead. And the structural pieces the machine hangs off (signature lines, filing, the system locks) are shown so you know where they are, but are not offered for editing.

Nothing is lost while you work

Every change is saved as a draft as you go, and the sheet in use keeps working exactly as before. Your changes only reach the paper when you press Publish. There is also an “Undo everything” if you want to start over.
