Before it goes out
Publishing shows you the summary of what changes against our form: how many paragraphs you rewrote, how many blocks you added, how many you removed, and how many new fields and boxes appear. If your version changes nothing, it says so and there is nothing to publish.
What happens the moment you publish
- From that second, the sheet prints, fills and signs with your version — in the office and in the worker portal alike.
- What was already signed is not touched. A signed paper is evidence: it stays exactly as it was signed, forever.
- A sheet someone had half-filled keeps its data and continues on your new version.
- Your previous version is kept. Publishing again opens a new one; the one in use keeps working until you publish.
Going back to ours
“Go back to ours” makes the system form print and sign again, with none of your changes. Your version is kept in case you want it back, and again, what was already signed is not touched. It is a decision you can undo, not a cliff.
When we change the sheet underneath you
If regulation moves and we change that sheet exactly where you had written, the system does not choose for you: it marks your version as “needs review”, keeps printing our original so the paper carries on complying, and shows you side by side what it used to say and what you wrote. Your text is not lost. You review it and publish again when you are happy.
If two administrators open the same form, the second one to save is told that someone else changed it and is asked to reopen it. Nobody silently overwrites anybody.
