What to review before closing a payroll period

A practical review of visits, rates and outstanding issues before approving your agency’s payroll.

Start with the scope of the period

Before comparing amounts, confirm the clinic, pay group and dates you are reviewing. Two totals may differ simply because they cover different cycles or people.

Check that period data is up to date and each person belongs to the right pay group. Review any pending updates before treating the total as final.

  • Correct clinic and period.
  • People included in the appropriate pay group.
  • Current data and any pending processing identified.

Review the work and its exceptions

A total alone does not explain everything that happened. Review visits with issues, possible duplicates and incomplete information. A flagged visit needs a decision based on evidence of the work.

A visit’s billing status does not by itself determine whether the work should be paid. Your agency must resolve that distinction before closing. Do not use a zero amount as a substitute for a pending decision.

Confirm rates before approval

Check the applicable rate for each caregiver and patient. If a rate changed, check when the change takes effect. A missing rate means the amount is pending; it does not mean the work is free.

Close with a review you can explain

Compare the summary with the individual details. Review unexpected differences and confirm that outstanding decisions have been resolved. Approval should match the period and amount you just reviewed.
